Office Assistant
We are seeking an individual to service our Guelph / Ingersoll Resource Centres.
Major Duties/Responsibilities
Liaise with customer at the initial stages of contract.
• Compile, verify, record and process contracts and work authorizations in accordance with established procedures and schedules, using computerized and manual processing systems.
• Retrieve authorization for processed contracts.
• Verify accuracy and completeness of sorting activities.
Track sorting activities, maintaining manual and electronic records.
• Collect and maintain daily an electronic file detailing onsite and offsite sorting activities connected to each contract.
• Consolidate weekly contract sort activities into a monthly summary and submit electronically to upper management.
• Scan all supporting documents into organization’s computer system for initial contract.
• File completed contracts (standard and via our Employee Web Portal)
Assist with staffing procedures.
• Recruiting and interviewing potential hires.
• Photocopy and collate all supporting documentation for interview process.

Prepare employee packages to be sent to Head Office.
Administrative duties.
• Maintain inventory of warehouse supplies; medical, safety and cleaning supplies, and order supplies as required.
• Process incoming and outgoing mail
• Sort receipts and expenditures related to warehouse operations.
• Assumes duties of Contract Coordinator in their absence retrieving supporting information to process contracts.
Requirements/Qualifications
• Two-year college( preferred Office Administration certificate) from an accredited institution or six months to one related experience and/training; or equivalent combination of education and experience.
• Excellent Microsoft Office skills, including Word and Excel, experience with Navision would be an asset.
• Ability to effectively present information and respond to questions from groups, managers, customers and suppliers.
Physical Requirements
• Work will require physical effort associated with using computer to access information.
• Physically demanding job at times must stock warehouse supplies; medical, safety and cleaning supplies.
• Physically demanding job at time with cleaning of office space and lavatories weekly or when required.
Working Conditions/Health and Safety Specifications
• Daily exposure to noise in the warehouse.
• Occasionally faced with interruptions and may meet with others to deal with a variety of issues.
• Appropriate personal protective equipment (PPE) is essential for this job.
